Colleagues,

Protecting customer and company information is the foundation of our business and a critical part of our value proposition. To reduce unwanted information security risks, we will restrict access to personal email, chat and instant messaging services and install full-time VPN. These changes will occur over the course of the next two months, with a final deadline of Monday, May 4, 2016. Some site locations will be selected to pilot the restrictions earlier than May 4. We will be sending communications to those employees separately.

Why we’re making this change

Technology improves our lives in many ways but adds risk in the process. Personal email and chat / instant messaging services, in particular, can become leak points for highly sensitive data. Financial services companies made this change several years ago and we obligated ourselves to do the same in a recent contractual renewal with one of our biggest customers.

What it means for employees

As an employee with Internet access, you will no longer be able to check personal email or use online chat or instant messaging services from your Iron Mountain-owned PC or laptop. You will also be required to log into VPN before you access the Internet. If you use personal email to manage outside activities such as child care, you will need to use your own smartphone or other device. At this time, Iron Mountain-owned tablets and phones are not affected by this change.
