Hi all,
I am working on a revision job to be done with Track Changes in Word.
The client asked to use a specific username for my changes but I mixed the usernames up and used one provided by another client... Since I made lots of changes, I don't want to do the job all over again...
Is there a way I can replace the wrong username with the right one?
Thanks a lot
Alessandra

Should be possible Aug 30, 2017

My receipe (not tested!):

Create a backup copy

Rename the .docx file to .zip

Extract the .zip file into a scatch folder

Use the Windows explorer to search the scratch folder for .xml files that include the unwanted user name in question

Replace all occurrences of the the unwanted user name

Create a new .zip file, then rename it to .docx

Check the result

"Compare" function Aug 30, 2017

Hello Alessandra.

If you only have changes, and not comments, you can try the following:

1. save a copy of your modified file and accept all changes

2. in the Review tab, click "Compare" and then "Compare"

3. in the dialogue, choose the original and revised files, and write the right username in "Label changes with" (under "revised document"). Choose "show changes in revised document" or "show changes in new document" on the bottom of the dialo

This has worked for me in the past, but I don't think comments get through, you may have to re-add them manually if you have them.

Hope this helps!

It works well but.. Aug 30, 2017

Thanks Francesca,
your method works well but in the original file there already were track changes, that I do not have to modify, and with the method you suggested I am obliged to accept the previous changes to make the comparison, so I am afraid I can't use it.

Changing user name in comments and tracked changes Aug 31, 2017

Hello Alessandra,

If you tell me the wrong username and correct username, and send me the document, I can change these for you. I have a custom program created for this purpose, although I cannot share it publicly. Please write to stasokhvat AT gmail DOT com.

Best regards,

Another possibility Sep 1, 2017

Hello Alessandra,

I don't know if you still need this, but I found this and it may be useful:
https://cybertext.wordpress.com/2013/04/10/word-removing-reviewer-names/

It's a roundabout method and I haven't tried it, but it might just work.
Hope this helps.

Thanks Sep 1, 2017

Thanks Stansilav for your kind offer but I can't send you the file for confidentiality reasons.
Next time (if it ever happens again...) I will try what Rolf and Francesca suggested. I have saved the method. In the meantime, the client said they have a macro that does the change so I sent the file as it was.

Yes, of course, a macro! I googled and found one that you can try yourself:
